AutoTAKEOFF is owned and operated by Virtace Inc. (“Virtace”, “we”, “us”), an Ontario corporation with its registered address at 9225 Leslie Street, Suite 201, Richmond Hill, ON L4B 3H6. This policy explains how we handle information when you use this website and the AutoTAKEOFF application (together, “AutoTAKEOFF”).

1. Information we collect

Enquiries. When you use the contact form we collect your name, company, email address, phone number and message.
Account and registration information. For customers: user IDs and roles, email addresses and passwords, your company’s legal and operating names, head office address, CRA business or HST registration number, and the contact details of an authorized director.
Project data. Drawing sets you upload as PDF files, the device counts, bills of material, quotes and revisions produced from them, and the catalog data, labour rates, markup and freight rules you supply.
Billing information. You may be asked for a valid credit card and a phone number for an authorized director, which we may verify by sending a code by text message.
Cookies and similar storage. This website stores your cookie-notice choice in your browser. The application uses storage that is necessary to keep you signed in.

2. How we use it

To respond to enquiries and demo requests.
To provide AutoTAKEOFF: processing drawings, producing counts and quotes, and saving your projects and revisions.
To set up and secure user accounts.
To invoice, collect payment and send payment-related notices.
To provide hosting, monitoring and technical support.

Your drawings, catalog data, pricing rules and other business information remain yours. We do not sell them, and we access or use them only to provide the service and technical support.

3. Who we share it with

AutoTAKEOFF relies on third-party providers, such as cloud hosting, licensed software and payment processors. We share personal and contact information with those providers only as needed for them to deliver their part of the service to you, and they may use data about you strictly for that purpose. We may also disclose information where the law requires it.

4. Where it is stored and how it is protected

We choose where AutoTAKEOFF is hosted. To provide the service and support, your information may be transmitted over public networks in line with our security protocols. Hosting includes cyber security, data privacy and backup measures, and access is controlled by user roles. You are responsible for keeping your password confidential; tell us at support@virtace.com as soon as you become aware of any unauthorized use of your account.

5. How long we keep it

We keep project and account data for as long as you have an active agreement with us. Cancelling a subscription may take effect immediately and may result in loss of the related data. If an account is suspended for non-payment and the amounts owing are not settled within six months of the suspension, we may permanently delete the customer’s data without further notice.

6. Your choices

You can ask to see, correct or delete the personal information we hold about you, or ask a question about this policy, by emailing support@virtace.com or writing to the address above.

7. Changes

We may update this policy from time to time. The date at the top of this page shows when it was last changed.
